Manage employee eligibility

The Thatch dashboard is where you’ll invite new hires and offboard employees who become ineligible for benefits.

Add and invite new hires

You determine the waiting period for benefits eligibility and use Thatch to schedule benefits invitations and enrollment windows. How you add employees depends on your setup.

  • Manually managed: From the Employees page, click Add employee, then enter and save their information.
  • Payroll-connected: Thatch syncs new hires automatically within 24–48 hours. Once a new hire syncs, you can invite them to enroll.

Invite employees by selecting them on the left of the employee table and clicking Invite selected. Schedule their invite using the appropriate waiting period and enrollment window.

Anyone who hasn't enrolled or declined by the end of that window automatically gets a five-day extension, during which Thatch continues sending reminders.

Individual health coverage begins on the first of the month after an employee selects and confirms a plan, and coverage dates can't be backdated except in a few specific cases. The Affordable Care Act (ACA) mandates that employees have access to coverage no greater than 90 days from their hire date as an eligible employee.

Offboarding ineligible employees

To end Thatch benefits for former or ineligible employees, follow the process below to offboard them in Thatch. Before beginning the process, be sure to know:

  • Employee's last day of eligibility or employment (not the last day of the month)
  • Employee's personal email address; offboarding communications are sent here if provided
  • Whether your company is subject to Consolidated Omnibus Budget Reconciliation Act (COBRACOBRA A federal law that allows employees to temporarily continue employer-sponsored health insurance after leaving a job, reducing work hours, or experiencing other qualifying events. Employees typically pay the full premium cost plus an administrative fee.); you'll self-attest during the offboarding flow

To ensure you do not pay for an extra month of coverage: schedule employee offboarding as soon as you know their last day of employment or benefits-eligibility.

On the employee's benefit termination effective date, Thatch automatically sends the employee an offboarding email, which includes their COBRACOBRA A federal law that allows employees to temporarily continue employer-sponsored health insurance after leaving a job, reducing work hours, or experiencing other qualifying events. Thatch also disables the payment methods associated with the employee’s Thatch membership as soon as their last month of coverage is paid. Insurance coverage remains active through the end of the month in which the employee is offboarded. For example, if an employee becomes ineligible July 4th, their coverage extends to July 31.

  1. Log in to the Thatch dashboard.

  2. Go to the Employees section.

  3. Click Offboard employees.

  4. Select each employee you wish to offboard, then click Continue.

  5. Review the information for each employee you selected, including:

    • Final day of employment: past or future dates are both fine. This should be the employee's last effective employment date.
    • COBRACOBRA A federal law that allows employees to temporarily continue employer-sponsored health insurance after leaving a job, reducing work hours, or experiencing other qualifying events.     • Personal email: if it's not pre-filled, add it now.
  6. Once the information is correct, click Next.

  7. Review one more time, then click the Offboard employee button.
