Use these resources to create a smooth onboarding experience for your team.

Account setup checklist

Use this checklist to confirm that you’ve completed the Get started phase and are ready to use Thatch for your employees' health benefits.

You’ve done everything from Create your account:

  • Choose an employee health budget
  • Add your company details
  • Configure payroll and pay schedules
  • Connect your bank account
  • Provide additional business information
  • Add administrators to your Thatch account
  • Cancel your previous insurance

You’re ready to start (or have completed) these steps:

  • Announce your new benefits
  • Invite employees to Thatch

The calendar below outlines a typical enrollment timeline, from announcing benefits to your team through the start of coverage, and what Thatch handles at each step along the way.

Your dashboard’s Resources page includes templates like the Announcement Email and ICHRA Notice, while the Enrollment overview shows real-time enrollment progress so you know who still needs to take action.

  • T-60 days: announce Thatch benefits

    Use Thatch's Announcement Email template to share the good news.

    • Attach the ICHRA Notice
    • Share the Medicare transition letter with eligible employees
    • Include upcoming benefits meetings in the announcement

    How: all documents are available in your Resources.

  • Between T-60 and T-30 days: schedule employee invitations

    Use Thatch to schedule enrollment invitation emails to employees.

    Recommended: schedule invites ahead of time to go out on T-30.

    How: see Invite employees to Thatch.

  • When the enrollment period starts: send an enrollment kickoff email

    Send an “Enrollment period is live” email reminding employees to look for their invitation from hello@thatch.com to start enrolling in a health plan.

    Recommended: attach the Member onboarding guide and Medicare onboarding guide to your email.

    How: in your Resources you’ll find an “Enrollment kickoff email template” and both guides.

Throughout your enrollment period, Thatch periodically sends emails and text messages to employees who have not yet enrolled or declined.

  • First week of enrollment: host benefits webinar

    Use the notes in the Enrollment presentation to lead a benefits webinar for your team.

    How: find the Enrollment presentation in your Resources.

  • End of first week of enrollment: send a reminder email

    Send an email or notice reminding employees of their deadline for first-of-the-next-month coverage.

    How: a reminder email template is available in your Resources. From the Enrollment overview, identify employees who still need to take action and copy an email list.

  • Last week of enrollment: track enrollments and send final reminders

    Use the Enrollment overview to track employee progress and send targeted reminder emails.

    Recommended: ensure everyone who was enrolled in your previous health benefits has enrolled or declined by the deadline.

    How: visit the Enrollment overview to see enrollment status and email relevant employees a final reminder right from the dashboard.

On the last day of your enrollment window (day 14 or 30), Thatch extends the window by five days for employees who haven’t enrolled or declined. Thatch will email and text message these employees until the window closes at the end of the fifth day.

  • First of the month: coverage begins.

After employees select their health benefits
